Sign In & Access

OnboardSync is a cloud-based platform you reach from any browser. Recruiters, HR POCs, and admins all use the same staff login with their work email.

Web Dashboard (Primary)
Open OnboardSync in your browser and sign in with the email + temporary password your HR shared with you. You can change the password later.
Candidates Don't Sign In
Candidates never create an account. They use a single-use magic link emailed by their recruiter, which expires in 48 hours.

Add a Candidate

Bring a new candidate into your pipeline. They get a single-use magic link by email so they can fill the onboarding form without creating an account.

How to add
Open Pipeline, click + Add Candidate, enter the candidate's full name and work email, then click Add candidate. The invite email goes out automatically and a new row lands in your pipeline.

Track Your Pipeline

All your active candidates in one place, with status at a glance and the right tools to nudge, refresh, or rotate their access.

Copy link
Need to share the link through Slack or WhatsApp? Copy link drops it on your clipboard.
Resend invite
Just re-sends the email with the samelink. The candidate's in-flight session keeps working.
Regenerate link
Use this if a link was leaked or expired. The old link dies and a fresh email goes out.

Review & Export

Once a candidate submits, drill into their full profile — Personal, Family, Education, Employment, Gaps, Additional Info, and Declaration. Then export one record or the whole pipeline.

Open the candidate
Click anywhere on a candidate row in the pipeline to open their full profile — every field they filled in, including the e-signed declaration and admin sign-off block.
Per-candidate export (HR & Admin)
From the candidate detail page, hit Print / PDF for a printable HTML view (signatures embedded), or Export JSON for a machine-readable copy.
Bulk Excel export (HR & Admin)
Tick rows in the pipeline and click Export selected (Excel), or grab the whole pipeline with Export all (Excel). One row per candidate, every question as a column header.
Sync to Google Sheets (HR & Admin)
Click the sync icon at the top of the pipeline to mirror every candidate into the shared Google Sheet — handy for view-only team visibility. The link icon opens that Sheet in a new tab.

Manage Your Team

HR POCs and Super Admins provision and archive recruiter accounts directly. Every change is audit-trailed.

Add member
Open Team, click + Add Member, set role, work email, and a temporary password. Share the password out-of-band — they sign in with it.
Archive & Restore
Archived users can no longer sign in but their candidates and history stay intact. Restore is one click; the audit trail shows who archived whom and when.
